How to build a social media report your clients actually read
Most client reports are ignored because they drown the story in numbers. Here's a simpler structure that gets read, understood and renewed.
A monthly report is one of the most visible things your agency produces — and one of the most commonly ignored. The problem is rarely the data; it's that the data isn't turned into a story the client can follow in two minutes.
Lead with the answer
Start with a one-line verdict: did this month go well, and why? Clients want the conclusion first, then the evidence. Bury it under twelve charts and they'll skim past all of them.
Show change, not just totals
- Compare to last month and to the same month last year where you can.
- Highlight the two or three posts that drove the result — with the actual creative.
- Separate organic from boosted so wins from spend are clearly attributed.
Be honest about what's missing
If a metric isn't available from the platform, say 'not available' — never show a zero. A fabricated zero quietly destroys trust the first time a client cross-checks it against their own dashboard. Honest gaps are far safer than confident errors.
Make it shareable
The best report is one the client can open themselves, whenever they like. A live dashboard link — plus an automated summary of the latest posts — keeps them informed between reports and makes renewal conversations effortless. That's exactly what Castessa is built to give you.
